Privacy policy

Foundation Systems is a small business run by one person. This page explains, plainly, what personal information we collect, why, and what we do with it.
Foundation Systems is a sole-trader business (ABN 80 364 354 212) on Sydney's Northern Beaches. "We" and "us" on this page means the business. Questions about anything here go to hello@foundationsystems.com.au. We follow the Australian Privacy Principles as a matter of good practice.
What we collect
When you use our contact form: your name, email address, business name, the type of enquiry you pick, and your message.
When you email us: your email address, your message, and anything you choose to attach or include.
If we contacted you first: we sometimes reach out to local businesses we think we could help. For that we use business contact details that are publicly available, such as those on your website, your Google Business listing or an industry directory. We keep them in our own records together with notes of any correspondence.
Concept designs: if we have made a free concept website for your business, it is hosted by Netlify. The link we send you may include a unique path, so we can see whether the design was opened. That tells us a visit happened. It doesn't tell us who you are.
When you visit this site:
- Google Analytics uses cookies to measure how visitors use the site: pages viewed, approximate location, device and browser type, and how you arrived. Google processes this on our behalf. You can block it with your browser's cookie settings or Google's opt-out add-on.
- Cloudflare Web Analytics counts page views without cookies and without identifying individual visitors.
- Google Fonts supplies the typefaces on this site. When your browser downloads them, Google receives your IP address.
- Netlify, our web host, records technical details of each request, such as IP addresses, to serve the site and keep it secure.
How we use it
- To reply to you, prepare quotes and proposals, and deliver the work you engage us for.
- To send invoices and keep the financial records the law requires.
- To understand how the site is used and improve it.
We don't sell personal information. We don't rent or share contact lists, and we don't use your details for anyone else's advertising.
Who handles it for us
We rely on a few service providers to run the business. They process information on our behalf:
- Google: email (Google Workspace), Google Analytics and Google Fonts.
- Netlify: website hosting and contact-form submissions.
- Cloudflare: domain name services and privacy-friendly analytics.
- AI tools, including Anthropic's Claude: we use these to help manage our inbox, draft documents and keep our business records. Emails and form messages you send us may be processed by them as part of that work.
These providers store and process data outside Australia, including in the United States.
Our Google account integrations
Some of our internal tools connect to our own Google Workspace mailbox. They use that access only to run Foundation Systems' own email and records. We don't sell Google user data, use it for advertising, or give anyone else access to it, except the service providers listed above as needed to run those tools.
How long we keep it
We keep enquiries and correspondence for as long as we are working with you, and for a reasonable period afterwards in case questions come up. Invoices and other financial records are kept for five years, because Australian tax law requires it. You can ask us to delete your information sooner. We will, except where the law requires us to keep it.
Keeping it secure
We take reasonable steps to protect personal information from misuse, loss and unauthorised access. Access is limited to the business owner and the providers above. No online service is completely secure. If something ever went wrong with your information, we would tell you.
Your choices
- Access and correction: ask us what we hold about you, and we'll show you or fix it.
- Deletion: ask us to delete your details, and we will.
- No more contact: if we contacted you first and you'd rather we didn't, reply and say so. We'll stop. We keep only a note so we don't contact you again.

If you're unhappy with how we've handled your information, please tell us first so we can put it right. If we can't resolve it, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

If how we handle information changes, we'll update this page and the date at the top.
